Privacy Policy

As a veterinary practice we respect your personal privacy and we are committed to respecting your privacy and protecting your personal data. It is important to read this statement carefully in order to understand how we look after and process your personal data, but also that you are aware of your privacy rights and how the law protects you.


1.     Introduction

 

We protect your data in line with the requirements of the UK General Data Protection Regulation (GDPR). As a requirement by GDPR it requires data controllers such as ourselves to state our lawful basis for processing personal data. This policy documents the personal data we collect and how we use it in relation to providing veterinary services to the animals under our veterinary care. We never share data to third parties without your animal(s) wellbeing behind the reason for us to do so.


2.     The personal data we collect and how we use it

 

When do we collect your personal information?

 

           We collect your personal data in a number of instances, such as:

 

  • Registering your details as a new client at our practice(s) (Whitby or Loftus). We obtain full name, address, contact telephone number(s), email address, your animal(s) details. 
  •  We use your full name, contact details, postal address to deliver medication to you personally or under our parasiticide delivery service which is hosted by VetsDeliver and Easy Direct Debits (their privacy policy information can be found directly on their websites).
  • Our vaccination reminder program will hold your name, postal address, email address and telephone number. Depending on contact details stored owners will be notified by email, text or post in the last instance. 
  • We use your payment card details to process payments you make in our practice(s). We do not store any financial details electronically.
  • For security and to prevent and detect crime
  • Where CCTV is in use at the practice, there will be signs bringing this to your attention. We use this CCTV data to ensure the safety and security of our employees, clients and practice and if necessary, we will share this where the law necessitates us to.


Third parties – we may receive/share information about you from/with third parties, such as:

 

  • Insurance companies
  • Other veterinary practices
  • Fraud prevention, law enforcement and debt collection agencies
  • Microchip companies and databases


3.     Who we share your personal data with

 

We share your personal data with the following categories of companies so that we can provide the service you have requested from us

 

  • External laboratories
  • Referral to other Veterinary practices (general and specialist who support our service to providing veterinary care to your animal(s))
  • Insurance companies
  • Health plan providers
  • Payment providers (Easy Direct Debits Ltd)
  • Partners such as Virtual Recall that enable us to provide vaccination reminders via marketing communications either by text, email or post. 
  • Microchip databases
  • Governing bodies (RCVS, in public interest or the interest of animal welfare)
  • Indemnity providers (VDS)
  • Debt collectors
  • Law enforcement agencies
  • Fraud prevention agencies

 

On the basis of any personal data provided, we will check:

 

  •  The confidentiality and security of your personal data within their privacy policy statement


4.     Lawful basis for processing your personal data

 

Under the UK GDPR we process your personal data under the lawful basis of:

 

  • Consent (when you have given us your consent)
  • Contract (any contract or service you have signed up to with The Beck Veterinary Practice Ltd)

 

If in the event that you fail to provide us with certain information when requested, then we will not be able to provide veterinary care to any animal(s) you have delivered into our care. 

 

5.     Individual rights

 

Under the UK GDPR you have rights over how your personal information is processed. You have the right to withdraw consent to the processing, access, right of rectification or erasure, the right to data portability and the right to restrict processing of your data. 6.     Data retention

 

We will retain your personal information for as long as necessary to provide our services and as necessary to comply with our legal obligations, resolve disputes, and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable time. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations. We may rectify, replenish or remove incomplete or inaccurate information, at any time and at our own discretion. 

 

7.     Third party collection of information

 

Our policy only addresses the use and disclosure of information we collect from you. To the extent you disclose your information to other parties or sites throughout the internet, different rules may apply to their use or disclosure of the information you disclose to them. Accordingly, we encourage you to read the terms and conditions and privacy policy of each third party that you choose to disclose information to. 


This privacy policy does not apply to the practices of companies that we do not own or control, or to individuals whom we do not employ or manage, including any of the third parties which we may disclose information as set forth in this privacy policy. 

 

8.     Marketing 

 

We may use your personal information, such as your name, email address, telephone number, etc ourselves or by using third party subcontractors for the purpose of providing you with promotional materials, concerning our services, which we believe may interest you. 


Out of respect to your right to privacy we provide you within such marketing materials with means to decline receiving further marketing offers from us. If you unsubscribe we will remove your email address or telephone number from our marketing distribution lists. 


Please note that even if you have unsubscribed from receiving marketing emails from us, we may send you other types of important e-mail communications without offering you the opportunity to opt out of receiving them. These may include customer service announcements of administrative notices.
